This describes what the Texas Food Vendors Association ("TXFVA," "we," "us") actually collects and does with it on this site (txfva.com), the TXFVA app (app.txfva.com and the TXFVA phone app), and the scheduler and directory they host. It's written to match what the platform really does, not a generic template.
What we collect
When you apply for membership:
- About you: your first and last name, email, the password you choose for your account, your mobile phone number, and a member referral code if another member sent you.
- About your business: business name, city, state, and years in business. Food vendors tell us how they sell (a truck, trailer or cart, or a booth or stand only). Suppliers, planners and venues can also tick what they supply, run or offer.
- For your listing: whether to show your business in the public directory, a public business name and public contact email if you give them, your service area, your primary region, and a short public summary.
- A promo or invite code, if you enter one.
In the TXFVA app: any documents you choose to upload (photos or PDFs of permits, licenses, insurance certificates, and similar records). These are stored privately and are not shown publicly.
If you turn on notifications in the TXFVA app: a notification address for each device you turn them on for, so reminders reach that device.
If you opt in to text reminders: the phone number you provide for that purpose.
If you join or manage staff in the TXFVA app: staff names, jobs, emails and phone numbers you add, and the events and shifts you build.
If you contact us or join a waitlist (contact, planner, or venue forms): the name, email, and message you submit.
Text messages
TXFVA texts only people who said yes to it: members who turn on text alerts in the TXFVA app or on txfva.com, and staff a member invites by text after that person agreed to get the invite. The texts are document expiration alerts, staff invites and join codes, shift and show requests from the business you work with, and notices about your membership.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are never shared with any third party. We use your number only to send the texts you agreed to, through AWS, which hands them to your phone carrier.
Message frequency varies. Message and data rates may apply. Reply STOP to any TXFVA text to stop them, or HELP for help. You can also turn text alerts off in the app's Settings.
What we show publicly
Anyone can look up a TXFVA member ID on the verify page and see the business name, member type, standing, and the date the membership is valid through.
If you choose to be listed in the directory, your public business name, TXFVA member ID, member type, standing, city, region, service area, and public summary are shown in the directory and on your public profile, plus a headline, booking link, menu link and photos if you add them. Founding members who are listed in the directory are also shown, with their founding number, on the About page.
Your account email, phone number, password and documents are never made public. Documents leave the app only when you send them to someone yourself.
How we use it
- To review and process your membership application.
- To run the TXFVA app, send expiration reminders (by email, by text if you opt in, and as phone notifications if you turn them on), and let you send your documents to an event organizer at your own request.
- To run the Calendar you use to build events and shifts.
- To respond to contact, waitlist, and support requests.
- To process membership dues through PayPal, our payment processor. TXFVA does not store your card or PayPal account credentials — PayPal handles that directly.
Who else sees it
Your account, your application, and the documents in your account are stored on TXFVA's own server, and our email is sent from it.
A few outside services each get only what they need for one job:
- PayPal processes membership payments.
- AWS (Amazon Web Services) sends text messages, if you said yes to them, and your phone carrier delivers them. Neither gets your number for anything else.
- Apple and Google deliver phone notifications to your device, if you turn them on.
We don't sell your information, and we don't run third-party advertising or analytics trackers on this site.
Cookies
This site uses a single session cookie to keep you signed in. We don't use tracking or advertising cookies.
Your choices
You can edit or remove documents in the TXFVA app at any time. You can turn off text alerts in the app's Settings, or reply STOP to any TXFVA text. To request a copy of your data, contact us using the details below.
Delete my account is in the TXFVA app under Settings → Account. It ends your membership: your TXFVA ID stops verifying, your directory listing comes down, and your documents with their photos and files, groups, sends, staff and join codes, second user, events and shifts, calendar links and reminders are deleted. A second user or a staffer who deletes their account removes only themselves. Payment records stay with PayPal and in our store records as required for accounting; your ID number is retired and never given to anyone else. There is no refund for the rest of the year.
